We have some heavy paper intensive business processes
In our office we have some of the following happening:

  • A document, whether an invoice, contract, or internal communication, needs to get reprinted and redistributed throughout our company to get approval and visibility at all decision making layers of our organization.
  • Sometimes it takes my employees a fair amount of time to locate a document around the office. Because everyone has access to it, they may need to make the rounds until they locate it.
  • I can only view my documents from the office. So when I am on vacation, I have to wait until I am back in town to review and respond to hard copy files and communication.
  • A document begins in email, gets printed out, distributed, copied, scanned, and filed away inside a filing cabinet for use at a later date.
  • We send out our older documents to an off-site storage facility (i.e. Iron Mountain) to be retrieved at a later date. Government Regulations make us do this.
  • Our office copies everything for records. We make two copies, one for the customer and one for our filing cabinets.
  • We scan in all of our invoices. Once they are scanned in, we then take the time to name them according to a naming structure we have collectively decided on at the company. This is so once it is filed away digitally, we are able to find it again. Trouble is, this doesn’t happen all of the time because the time it takes to do this causes my people to take short cuts.

Our data entry people are busy all day long.

  • We create/receive many items in the mail such as claims, surveys, invoices, bill of materials, that must be re-typed inside our database system for order processing.
  • With all of the data being manually typed into our database system there are times when the material is miss-typed and recorded incorrectly.
  • With all of time it takes for the data to be manually typed into our system, our employees are only able to handle a certain bandwidth and are left to push off the rest of the information to be handled on the next business day.
